Shipping Policy

Booking Request

A booking request is not a confirmed shipment. Confirmation depends on carrier approval, available space, payment status, document readiness, vehicle condition, port cut-off and route requirements.

Booking Confirmation

A booking is confirmed only when iCar Japan or the shipping provider gives written confirmation. Preliminary schedules and requested vessel names are not guarantees.

Vehicle Readiness

• Vehicle must be available at the designated yard or port.
• Required servicing must be completed before cut-off.
• Fuel, battery, keys and operability must meet carrier requirements.
• Loose parts and prohibited items must be removed or secured.

Shipping Route and Port

iCar Japan may recommend another port, route, transshipment arrangement or vessel when the requested option is unavailable, delayed or unsuitable.

Carrier Acceptance

The shipping line has final authority to accept or reject cargo based on condition, dimensions, leakage, operability, documentation, restrictions or safety rules.

Shipment Priority

Priority requests are considered but cannot be guaranteed. Space allocation is controlled by the carrier and may depend on vessel capacity and operational decisions.

Estimated Departure

ETD is an estimate and may change due to booking adjustments, port conditions, vessel delay, loading priorities or carrier instructions.

Estimated Arrival

ETA is not a guaranteed delivery date and may change because of transshipment, weather, congestion, customs procedures or vessel rotation.

Rollover or Vessel Change

A carrier may move cargo to a later vessel. The shipment normally continues under the revised schedule rather than being automatically cancelled or refunded.

Port Congestion

Congestion may delay yard entry, customs, loading, discharge, document release or collection. iCar Japan is not responsible for port delays outside its control.

Transshipment

Some destinations require connection through another port. Cargo may wait for a connecting vessel and total transit time may change.

Destination Delivery

Unless inland delivery is included in writing, shipment ends at the destination port. Customs clearance and inland delivery are the customer’s responsibility.

Tracking Information

Tracking and arrival updates are based on information received from carriers and agents. Update delays do not mean cargo is lost.

Force Majeure

War, sanctions, disaster, strikes, government restrictions, port closure or other events outside reasonable control may delay shipment.

Required Information

• Customer and payer details
• Consignee and notify-party details
• Destination port and country
• Vehicle chassis and invoice information
• Destination-specific permits or identification

Document Accuracy

Customers must review shipping details promptly. Costs caused by incorrect information, late correction or amendment may be charged to the customer.

Bill of Lading

The Bill of Lading may be original, surrendered, express or electronic depending on carrier rules. Release is subject to payment and document requirements.

Export Certificate

Export certificate translation, deregistration and related documents are prepared under Japanese export procedures. Reissue or correction may require time and cost.

Freight and Export Charges

Freight quotations include only listed items. Charges may be revised where carrier rates, surcharges or route conditions change.

Destination Charges

Unless included, the customer pays customs duty, taxes, port handling, agent fees, inspection, storage, registration, demurrage and inland delivery.

Late Payment

Late payment may delay booking, document release or shipment. iCar Japan is not responsible for missed space or added charges caused by payment delay.

Customs Compliance

The customer must confirm import age limits, emissions, safety, permits, inspection, tax and registration requirements.

Transit Risk

Risk allocation depends on the agreed sales and shipping terms, invoice and carrier conditions. Customers should not assume every transit issue is covered by iCar Japan.

Marine Insurance

Marine insurance is included only when stated in writing. Otherwise, the customer should request or arrange suitable coverage.

Inspection at Destination

The customer should inspect the vehicle promptly and record visible damage with photographs, delivery records and written notice.

Damage Claims

Claims involving carriers, ports, insurers or transporters must follow their deadlines and evidence requirements. Late reporting may prevent recovery.

Personal Items and Inner Cargo

Personal belongings are prohibited unless approved. Approved inner cargo must be declared, secured and compliant with carrier and customs rules.

Dangerous or Prohibited Goods

Fuel, chemicals, gas cylinders, weapons, undeclared parts and restricted goods may be prohibited. The customer is responsible for unauthorized cargo.

Customer Collection

The consignee must clear and collect the vehicle within the port period. Storage, demurrage and abandonment costs caused by delay are the customer’s responsibility.

Communication Responsibility

Customers must keep contact details current and respond promptly to payment, customs and document requests.
